Transport accounting records

A practical checklist for transport accounting records

Keep the trip, vehicle, expense and source document connected so the office can trace how an amount entered its records. This guide offers an internal recordkeeping sequence, not tax advice.

Build a traceable record for each cost

For each purchase or expense, capture enough context for another team member to understand it later. A useful record can include date, vehicle, trip reference, supplier or payee, expense category, amount, payment status, source attachment and the person who reviewed it.

Connect daily trip records to the expense

When a cost belongs to a trip, keep the trip reference with the transaction. When it is vehicle-level or office-level, say so explicitly. This makes it easier to review costs by trip or vehicle without assuming that every entry belongs to a single journey.

Keep driver advances and settlements understandable

Record the amount issued, the date, the driver and the trip or work period it relates to. When settlement happens, record the supporting expenses and the resulting balance. Keep an unresolved difference visible for review instead of silently adjusting another entry.

Review source documents before posting

  • Compare the entered amount and date with the original bill or statement.
  • Check whether the document is already attached to another entry.
  • Confirm the vehicle, trip or payee before assigning the cost.
  • Leave unclear figures in a review state until someone checks them.
  • Keep a note when a corrected amount replaces an earlier entry.

Use a steady close routine

  1. Collect the records received during the period.
  2. Link each item to a trip, vehicle or office category.
  3. Review missing attachments, duplicate entries and unmatched balances.
  4. Compare the period’s recorded purchases, sales, expenses and driver pay with the source records available to your team.
  5. Share unresolved items with the person responsible before preparing the period’s report.

Questions to answer before relying on a report

Can a reviewer open the source for an entry? Are pending OCR results distinct from checked records? Can the team identify who entered or corrected a value? Does the report clearly reflect only the records entered for the selected period?
