Start with a real workday
Write down what happens from the first dispatch update to the end-of-day record review. Note who creates each record, where the source information arrives, and which decisions depend on it. This gives you a concrete checklist to use in a product walkthrough.
- How does the office assign a trip and vehicle?
- Where do fuel, toll, repair and compliance documents arrive?
- Who checks unclear or incomplete entries?
- Which records must reach accounts or a supervisor before closing the day?
Check the vehicle-data source
Ask which vehicle fields are available, what feed provides them, and how the system shows missing or stale data. Status, location, fuel, DEF and odometer values should be understood in the context of the connected feed and its update behavior. Confirm what the team can still record when a feed is unavailable.
Walk through document intake and review
Bring a few representative bills: a clear image, a difficult photo and a PDF or spreadsheet your team already uses. Ask what formats are supported, whether the original stays attached to the record, which fields OCR reads, and how staff review uncertain results. Treat the extracted value as a draft until someone checks it against the source.
Follow one trip through operations and accounts
Choose a completed trip and follow its records: vehicle assignment, daily running, fuel and toll costs, driver pay, supporting attachments and final ledger entry. Note where manual entry remains, who can edit a posted value and how a correction is visible to the team.
Check access, exports and escalation
- Can staff and drivers be associated with the right vehicles?
- Can supervisors receive configured alerts when a vehicle is stationary?
- Can the team export the records it needs for its existing processes?
- Can administrators review access and correct a record without losing its source?
Use a small, evidence-based walkthrough
Ask the vendor to demonstrate two or three real examples with your sample records. Keep a short scorecard: required workflow, source of data, person responsible, exceptions to review and output your team needs. Record unanswered questions separately; avoid choosing a system based only on a feature list or a promised result.
